Field Trips
The Field Trip process is used to request approval for students to travel for planned group events, conferences, and other educational outings. For safety and liability reasons, it is important to submit a request for a Field Trip at least 3 weeks in advance of the planned event. Only one form needs to be submitted for an event.
In addition to the Field Trip form, each student must also complete a Student Field Trip/Excursion Waiver and Medical Authorization form. Each employee chaperoning or hosting the event must also complete a Conference Leave Request form to obtain approval to travel for official College business that is outside of their normal job hours and duties.
Please note that both Student Services and Academic Services may have certain requirements, policies, or internal procedural steps for the Field Trip process. Please confer with your Division Office to ensure you are following all necessary steps.
Field Trip Process
- Hosting employee submits Conference Leave Request form to their Division Office
- If approved, employee(s) contact all students attending to collect completed Waiver and Medical Authorization forms.
- Employee submits Field Trip form and attaches all student waivers, along with any other backup relevant to the field trip request.
Field Trips that are held on campus or within the local District cities (Hayward, Dublin, and Livermore) only require Dean and VP approval. Out-of-District and Out-of-State travel requires Dean, VP, and President approval.
