5. Staff Reports

LPC: Computer/Network & Audio/Visual

  • Stephen Gunderson is out of the office. He will report at the next meeting.

LPC: Instructional Technology

  • CVC Exchange Teaching College Project
    • Status: On track for a tentative go-live date of November 25.
    • Purpose: Allows students from other California community colleges to enroll in LPC’s fully online courses.
    • Next Steps:
      • Final coordination with IT, A&R, and counselors for enrollment processes.
      • Campus-wide communications once the launch date is confirmed.
    • Enrollment Details:
      • All fully online LPC courses will appear on the Exchange.
      • Courses that completed Peer Online Course Review (POCR) are marked High Quality, improving visibility.
      • LPC students get priority registration before Exchange students.
      • May help fill lower-enrollment courses in smaller programs.
    • HyFlex Courses:
      • Not automatically included since some require in-person exams.
      • Instructors with fully online HyFlex courses can coordinate with their Dean and VP to list a cross-listed online section on the Exchange.
  • Winter Intersession Preparation
    • New training in Canvas helps faculty condense full-term courses into 4-week sessions.
    • Emphasis on technical readiness (Canvas publication, welcome letters, student access).
    • Working to establish campus support availability (A&R, Deans, IT, etc.) since campus is typically closed during intersession.
  • Accessibility Compliance
    • Continuing review of Canvas accessibility data following federal guidance.
    • Progress: Decrease in common errors (e.g., color contrast, empty links).
    • Concern: Overall accessibility errors higher in fall than spring—likely due to new/seasonal courses.
    • Next Steps: Ongoing faculty training, Flex sessions, and workshops.
    • Goal: meet WCAG 2.0 AA standards for online materials.
  • Artificial Intelligence (AI) Discussion
    • Rapid developments in AI are creating both opportunities and challenges.
    • Current efforts include:
      • District-wide AI workgroup and Regional AI Community of Practice via the Chancellor’s Office.
      • State-sponsored tools include Google Gemini and Notebook LM.
    • Concerns:
      • Emergence of Agentic AI (e.g., Perplexity Comet AI) that can complete tasks like quizzes automatically, raising academic integrity risks.
      • Need for clear decision-making processes on adopting AI tools.
    • Proposed Solutions:
      • Develop a formal vetting process (similar to instructional technology reviews) that considers FERPA, privacy, accessibility, and equity.
      • Potential creation of a joint subcommittee (Distance Education, Tech, Senate, DSPS) to review and demo tools.
      • Broader faculty involvement and voting for transparency and buy-in.
      • Offer AI tool demos and training so faculty can make informed decisions.
      • Consider alignment with Chabot College to ensure district-wide consistency.
  • DSPS & Equity Perspective
      • Raised concerns about blanket no AI classroom policies negatively impacting students who use AI-powered assistive technologies.
      • Recommended:
        • Clearer communication in syllabi about when and how AI use is allowed.
        • Involvement of accessibility and counseling faculty in AI-related decisions.
        • Creation of subcommittees for targeted vetting and inclusive policy design.

LPC: Website/Home Page Analytics

  • Website Updates
    • The Steps to Success page has been renamed to Steps to Register.
      • Old links and printed materials using the old URL will still work
      • The new URL includes register instead of success.
    • A new Winter Intersession banner is now live on the LPC homepage (currently the second slide), created in collaboration with Chip.
  • Web Server Maintenance
    • All three CLPCCD sites — LPC, Chabot, and District — have SSL certificates expiring between November 13–27.
    • Renewal emails have been received, and updates will be completed before expiration to prevent downtime.
  • Student ID Verification Developments
    • Tim attended a State Chancellor’s Office webinar discussing student identity verification initiatives.
    • Key points:
      • me, used in CCCApply for ID validation, is now partnered with the California DMV.
      • The CA DMV Wallet App (available on both app stores) links to DMV records and provides a digital ID that’s legally valid — police must accept it if presented during a traffic stop.
      • A new California law (effective 2027) will require community college applicants to verify their identity as real individuals.
      • Students can do this through ID.me, the CA DMV Wallet, or in person with physical ID verification.
    • Discussion:
      • Bruce Griffin noted previous accessibility issues with ID.me, which made it optional and easy for fraudulent students to bypass.
      • Tamica Ward confirmed the DMV Wallet is currently optional, but it could become mandatory in the future.
      • Tim mentioned this may be worth exploring for integration into LPC’s online application process in preparation for the 2027 requirement.

District: ITS

  • SSB9 Registration Transition
    • District is actively preparing for the rollout of SSB9 (Self-Service Banner 9) for registration.
    • Training & Outreach:
      • Multiple open sessions, summits, and departmental meetings are underway.
      • Efforts are being made to involve students (through collaboration with Chabot, Kristen, Chip, and the President’s Office).
      • Early student feedback is being collected.
    • Go-Live Timeline:
      • The current system, SSB8, will be de-supported on January 1, 2026.
      • Therefore, the spring registration cycle must occur entirely in SSB9.
      • SSB8 (Classic Class-Web) will not be used beyond the fall grading period.
  • Faculty Pages & Grade Entry
    • A new faculty interface will accompany SSB9, including updates to:
      • Grade entry (reviewed with the Faculty Association due to contractual implications).
      • Class rosters (add/drop features and improved navigation).
    • Improvements:
      • Columns in rosters are now sortable.
      • More intuitive display for managing students at the start of the semester.
    • Faculty Support:
      • Training materials and screenshots of new rosters will be shared before the end of this semester so instructors can prepare early.
      • Fall 2025 grades will still be entered through the existing SSB8 process; no change until spring.
    • Winter Intersession & Support Coverage
      • Technical preparations are underway for Winter Intersession, including system configuration and support coverage planning.
      • IT is coordinating schedules so that faculty and student requests can be addressed over the holiday break, even while campus offices are typically closed.
    • DualEnroll.com Project
      • The DualEnroll.com implementation is in its final stages.
        • Designed to support dual enrollment programs (currently CCAP courses).
        • Expected to be active for Summer and Fall 2026 expansion across both colleges.
    • Faculty Load & Compensation Updates
      • System updates are being developed for faculty assignment and overload acceptance, particularly for Deans managing adjunct and overload contracts.
      • Details will be communicated soon; also listed on the agenda under Impacted Systems.
    • Financial Aid Maintenance (November)
      • The annual Financial Aid system update will occur November 7-8.
      • Systems will be down overnight and for the morning of November 8 only.
      • IT coordinated timing carefully to avoid overlap with payroll and registration.
      • Users are advised of potential temporary interruptions during this maintenance window.
    • Feedback & Concerns
      • Training & Adoption:
        • Faculty feedback indicates concerns about the learning curve for both staff and students adapting to SSB9.
        • Some confusion remains about the parallel use of SSB8 and SSB9 — clarified that both will not run concurrently for spring.
      • Student Misregistration (LPC vs. Chabot):
        • Ongoing issue where students accidentally register at the wrong college.
        • Efforts are underway to clarify course labeling, but minor error rates are expected given the large student base (20,000).
      • Test Environment Access:
        • Faculty are encouraged to apply as students to explore the registration process firsthand.
        • A shared test account system is being considered but limited by FERPA and system access constraints.
        • Such self-enrollments will not impact enrollment metrics unless faculty remain enrolled beyond census.
    • Next Steps
      • Continue faculty and student training sessions through the end of the semester.
      • Release video tutorials and documentation for SSB9 once updated.
      • Ensure smooth transition from SSB8 to SSB9 before January 1 deadline.
