5. Staff Reports
LPC: Computer/Network & Audio/Visual
- Stephen Gunderson is out of the office and will report at the next Technology Committee Meeting on March 2.
LPC: Instructional Technology
- Accessibility Focus
- Ongoing emphasis on web and course accessibility, particularly in Canvas. Fall accessibility errors decreased by 27.4% compared to the previous fall, showing progress. Common remaining issues include low color contrast, empty links/headings, and missing alt text.
- Training & Support Efforts
- Multiple Canvas and ComplyBot hackathons were held before spring term, along with visits to three division meetings. Continued outreach is helping raise awareness and build faculty skills.
- PlayLab / ComplyBot Tool
- The PlayLab Chatbot, developed by Instructional Technology Specialist Wanda Butterly, is being actively promoted. It helps faculty quickly fix accessibility issues in Word documents and Canvas (e.g., headings, hyperlinks, tables, alt text). Feedback from faculty and students has been very positive, with reports of clearer, more accessible courses.
- Upcoming Federal Deadline
- Additional accessibility training and messaging will continue ahead of the April federal web accessibility compliance deadline for higher education.
- Compliance & Accreditation Prep
- Ongoing work to ensure technology aligns with FERPA and regular effective contact requirements. Guidance is being shared on managing merged Canvas sections and documenting instructor–student interaction in preparation for future accreditation.
- AI in Instruction
- Faculty have been encouraged to include course-level AI policies in syllabi, recognizing that AI use varies by discipline and assignment. A single campus-wide policy was not feasible.
- Assessment & Academic Integrity
- A Respondus Pilot is underway at LPC and Chabot as a potential alternative to Proctorio for secure online exams. Feedback will be shared as the pilot progresses.
- Agentic AI Awareness
- Systemwide discussions are expanding beyond generative AI to agentic AI and its implications for education. Emphasis is being placed on humanizing instruction.
- Professional Development
- A Tentative AI-focused Professional Development Day is planned for April 17, with options for campus watch parties or Zoom attendance. Fall Flex Day will also include significant AI-related content.
- Student AI Usage Survey
- WestEd, supporting the State Chancellor’s Office, has developed a student survey (with the Student Senate) to understand how students use generative AI in learning and daily life. Feedback was requested on whether LPC should distribute the survey broadly (e.g., global Canvas announcement) to gather local data. Initial feedback suggested few downsides and potential value in understanding student practices.
LPC: Website/Home Page Analytics
- Accessibility Deadline & Templates
- All webpages using the newest Omni templates are already compliant with current web accessibility standards. Older templates are compliant to earlier WCAG standards and are actively being upgraded to the latest versions.
- Ongoing Website Upgrades:
- Work is underway to identify and upgrade any remaining sites still using older templates. Departments do not need to worry about making template-level accessibility fixes, as monitoring, reports, and scans are already in place to identify major issues.
- PDF Usage Guidance
- Posting PDFs as webpages is discouraged because:
- PDFs are not mobile-responsive (most students access content on mobile).
- PDFs are often not accessible unless created with specific expertise.
- Using Omni templates ensures approximately 95% accessibility compliance by default.
- Posting PDFs as webpages is discouraged because:
- Calendar System Benefits
- Events should be posted in the calendar system rather than as standalone PDFs because:
- Calendar entries are web-based, screen-reader friendly, and accessible.
- Content automatically expires after events conclude, reducing long-term accessibility liability.
- This prevents outdated PDFs from remaining publicly accessible.
- Events should be posted in the calendar system rather than as standalone PDFs because:
- Student Events & Student Services
- Student Life and Student Government generally follow best practices. Ongoing coordination will continue with Student Services staff who submit event information.
- Recent Updates Completed
- The Student Resource Guide has been fully updated to the new template.
- The new Special Programs site is live.
District: ITS
- Fraud Trends & Mitigation
- Fraud activity is significantly down, especially at Chabot (which historically experiences higher impact than LPC). Reductions are being seen for both winter intersession and spring.
- Key contributors include
- State-level improvements in CCCApply, blocking 90% of fraudulent applications.
- Internal AI-based fraud detection tools now in use.
- Bots previously used to auto-enroll fraudulent students no longer functioning in SSB9.
- Despite improvements, leadership remains cautiously optimistic, recognizing that fraud tactics will continue to evolve.
- New Fraud Detection Tools
- Two additional LightLeap AI tools are being implemented:
- An M2 model that scans class enrollment patterns for fraud indicators.
- A tool that scans financial aid applications submitted without a corresponding college application.
- Safeguards are in place to prevent false flags for students who have prior grades or payment history.
- Two additional LightLeap AI tools are being implemented:
- Accessibility & Compliance
-
- District has initiated contact with the Tech Center to participate in the Accessibility Center Compliance Maturity Model cohort for the coming year. More information will follow.
-
- SSB9 Faculty Services Updates
- Fixes are being applied to faculty services pages in SSB9, improving functionality
for grade, add/drop, and census rosters.
- A long-standing defect has finally been resolved.
- The updated faculty version of SSB9 will go live at the end of the month.
- Fixes are being applied to faculty services pages in SSB9, improving functionality
for grade, add/drop, and census rosters.
- System Upgrades & Downtime
- Required Banner component upgrades and an Oracle upgrade will occur to support SSB9 fixes.
- Anticipated Downtime: evening of February 27 through February 28, with systems expected back up by early March 1
- Scheduling prioritizes payroll, class operations, and compliance needs. Notifications will be sent in advance.
- Technology Planning
- District and LPC/Chabot Technology Planning will begin this term, with information gathering throughout the next 3 months.
- Drafting will occur over the summer.
- Plans will be presented to Technology Committees and Academic Senate in the Fall prior to Board Review.
- New Registration System (SSB9) – Early Learnings:
- Enrollment trends appear up at both LPC and Chabot compared to prior years.
- Transition challenges are ongoing as users adapt from a highly customized legacy system.
- Customization options are limited and must be weighed carefully with future Banner SaaS migration in mind.
- Key challenges included vendor QA issues and late defect fixes during rollout.
- Counselors found value in creating student accounts for training and system familiarity.
- A known limitation remains regarding semester-specific applications, which cannot currently be customized at the vendor level.
